ILC Wellth Strategies is a wealth strategy and lifestyle advisory firm in Calgary, AB. They help families, professionals and business owners across the Canadian market take back control of the money flowing through their lives, and build the private banking structures to support it. They are an educational platform as much as an advisory firm — the work is about helping people understand what is actually happening in the financial marketplace, what their options are, and how they show up as human beings in the process of building wealth.

THE STARTING POINT

A new brand, building the right
foundation.

ILC was relaunching. The CRM and database foundations were in place, the team had clear ideas about how prospects should move through their ecosystem, and a detailed system design mapped out. What they wanted was to get it right before the volume arrived, not after.

The priority was having key infrastructure implemented and optimized so that when leads entered the ecosystem, the team could manage them properly from day one.

This is a human to human industry. Some tasks should stay manual — that is what builds trustworthy teams. The question was which parts genuinely benefit from automation, and what that frees the team to do instead.

A design that had not met reality yet

The plan was sound in intent. It had not yet been tested against how GoHighLevel actually processes triggers, or how the booking flow behaves under live conditions.

THE APPROACH

An external perspective on a solid plan.

Most vendors build exactly what is on the diagram and call it done. Before writing a single workflow, we mapped how the team actually worked — their real decision making, their routing instincts, their informal handoffs — so the automation reflected reality rather than an idealized version of it.

Booking logic aligned to how GHL really works

Appointment triggers, disposition based re-routing and post booking behaviour were reworked so leads land in the right sequence every time.

Workflows completed end to end

Several paths, including the full qualified lead journey, existed as outlines. These were engineered out and connected into the wider pipeline.

Closing the GHL reality gap

Trigger conditions, stage changes and conditional logic behave differently in practice than on paper. Accounting for that up front is the difference between automations that fire correctly under load and ones that quietly do not.

Surfacing what was already available

Part of the value was showing the team functionality inside the platform they had not realised was there, and confirming it would work the way they hoped.
